Shipping and Receiving Information:

• A $5 handling fee applies for each box received, delivered and shipped out.  
• Large Case with Wheels or Box over 45 lbs are $40.00 each.
• A $200.00 handling fee applies for unloading and loading pallets.
• Any materials required for upcoming events may be sent no more than three business days prior to the event.
• Attendees will be invoiced by the Virginia Motorcoach Association for any charges invoiced to the master account.

Outbound Shipping Instructions:

Conference Concierge can assist with outbound shipping on site. All boxes must be self-packed and ready to ship with a pre-paid shipping label. Please notify Conference Concierge for packages to be picked up and shipped. Kindly note FedEx tends to take longer as they do not pick up frequently from our hotel.

Housing:

Room Block Housing is currently FULL. We feel your excitement and can't wait to see you soon! You have the option of selecting a room at the Williamsburg Lodge at their standard rates, or, there are several great accommodation options in the area. While we are not offering an overflow room block, we are happy to share the following information to help you find another option.

Eligibility to Attend

Membership in at least one of the following associations is required to attend the meeting: NCMA, VMA, MCASC.

Each person planning to attend the meeting must fill out a registration form once available. An invoice will be emailed upon receipt of your registration form. You may pay online or you may opt to send a check to:
